Instructions for Oral Presentations
[Applicable to presenters of IPS, STS, and CPS in oral or poster-plus mode]

To support oral presentations, each room will have a microphone, a podium, a computer connected to a multimedia projector and a screen. In order to use the computer for projecting presentation materials, these must be uploaded to the Congress Submission System well before the session is due to start. Speakers will NOT be allowed to upload files on the computers in the rooms where presentations take place.

Each presentation file for computer projection should be in either PowerPoint format (PPT, PPTX) or Portable Document Format (PDF), and should not exceed 20Mb in file size.

Please upload your presentation file to the Congress Submission System as soon as possible after the submission of presentation materials opens on 1st July. If for any reason you cannot upload your presentation before the Congress starts, please visit the Speakers Room where you will find support to upload your presentation to the Congress Submission System. Please make sure that your presentation is uploaded at least two hours before your session is due to start.

All uploaded presentation files will be preloaded to the presentation computers in the scheduled meeting rooms. To play safe, please bring your presentation file with you to the Congress.

In case you need to replace the version uploaded to the online submission system, you have to do the replacement at the Speakers Room, at least two hours prior to your presentation. The opening hours of the Speakers Room will be notified in early July.

For operation management reasons, we shall rename your file with the following file-naming convention:

  • 6 characters for the Session code,
  • followed by one underscore as separator,
  • followed by 2 characters to identify the speaking person’s capacity (C1 for the Chair, S1 for Speaker 1, D1 for Discussant 1 and so on)
  • followed by one underscore as separator and the last surname of the speaker.

The extension part of the file name remains the same as that of the original file format.

For example, the file ‘IPS001_S3_Sun.ppt’ designates the file in PPT format available for Speaker 3 of session IPS001. The file ‘STS003_D1_Ayhan.pdf’ is the file in PDF format for Discussant 1 in session STS003 and so on.

Your presentation file, named according to the file-naming convention, will be available on the desktop area of the presentation computer in the meeting room scheduled for the session. When you reach the meeting room, you may simply locate your presentation file on the desktop of the computer and launch it to start your presentation.

Please make sure that you reach the room designated for your session at least 10 minutes before the start of the session, so that you can check in with the Chair. This is also the time to make sure that all you need is available for your presentation.
